The security log book
Record every car that enters the gate. Search past visits, export records for committee review, and let BUCA build your security statistics automatically.
What the log book gives you
Every car entry you record feeds three things:
- A live log — every entry in reverse order, searchable by car plate.
- Automatic statistics — daily, weekly, and monthly summaries built from your entries.
- Export to CSV — send a date-range export to your email for committee records.
Logging a car entry Security guard
Step 1 — Open the log book
- Log in
Log in at app.buca.my with your email and password.
- Go to the log book
You will land on the Security Log Book page. If not, tap Security Log Book from the menu.
Security guards land on the entry screen. Committee admins land on the Security Dashboard and can tap Security Log Book from the dashboard menu.
Step 2 — Enter the car plate
- Type the car plate number
In the car_number_plate field (e.g. WVP13011), type the plate of the vehicle entering the gate. Letters are automatically converted to uppercase.
- Tap Create
Tap the Create button. BUCA checks if the plate has visited before.
If the plate has visited before, the House No., Street, and visit category are filled in automatically. You can still edit them before saving.
Step 3 — Fill in the entry details
You will see a summary of the plate's history (total visits, last visit date) and the entry form:
- Check the IC box if needed
If the visitor needs to provide identification, the IC checkbox appears. Tick it if ID was checked.
- Enter the house number
Type the unit number in the House No. field (e.g. 12A).
- Enter the street
Type the street name in the Street field. As you type, matching streets appear — tap one to select it.
- Select a category
Tap a category button to describe the visit:

Tap Create to save. You will see "Created log successfully" and return to the log book.
Tap Cancel at any time to go back to the log book without saving.
Special case — Registered visitor
If the car plate belongs to a pre-registered visitor, BUCA opens the Confirm Visitor screen instead. It shows the visitor's name, number plate, and destination address.
- Review the details
Check that the name and destination address are correct.
- Tap Confirm
Tap Confirm to log the visit. Tap Cancel if the details do not match.
Viewing the log book Committee admin
- Open the log book
From the Security Dashboard, tap Security Log Book. The page is titled Security Log Book and lists all entries newest first.
- Read an entry
Each row shows two columns:
- Visit Details — house address, car plate, and category
- Misc. Details — the name of the guard who logged it and the date/time
- Browse more entries
Use the page navigation at the bottom to move between pages.
Searching the log book Security guard Committee admin
- Open Search
From the Security Log Book page, tap Search in the navigation. The page is titled Security Search.
- Enter a car plate
Under Search Car, type a plate number in the search field (e.g. WVP1301).
- Tap Search
Tap Search. Results appear in two sections:
- Houses — matching households (house number, street, last paid year)
- Security Logs — every visit log for that plate (car plate, address, category, logged by, date)
Exporting log records Committee admin
You can export all log entries to a CSV file. BUCA emails it to your account email address.
- Open the Export page
From the Security Log Book list page, navigate to Export Security Logs.
- Set a date range (optional)
Enter a Start Date and End Date to limit the export. Leave both blank to export all records.
- Tap Export
Tap Export. BUCA queues the export in the background and emails the CSV file to your account email address when it is ready.
The CSV is sent to the email address on your BUCA account — not downloaded directly. Large exports may take a few minutes to arrive.
Security statistics Committee admin
BUCA automatically builds summaries from your log entries — no extra action needed:

Common problems
| Problem | What to do |
|---|---|
| Wrong house number or street saved | Ask your committee admin to edit the entry from the log book list page. |
| Export email did not arrive | Check your spam folder. If still missing after 10 minutes, try exporting again or contact your committee admin. |
| Car plate not found in Search | The plate may not have a log entry yet. Spaces in plates are ignored — search without spaces (e.g. WVP1301 not WVP 1301). |
| "Confirm Visitor" screen opened but details are wrong | Tap Cancel and log the entry manually so the correct house is recorded. |
